Description
The Procurement & Materials Coordinator is responsible for managing the end-to-end purchasing process, including creating purchase orders, tracking ordered items, coordinating with suppliers, and receiving and testing goods. The role ensures timely delivery, accuracy of inventory records, and smooth material flow to support operational and production needs.
What is expected of you
- Bachelor’s degree in Business Administration, Supply Chain Management, or related field
OR Relevant vocational training with equivalent experience - Team player with a proactive, problem-solving mindset
- 2+ years of experience in procurement, purchasing, or materials management
- Experience with ERP systems (e.g., SAP, Odoo, Microsoft Dynamics, or similar)
- Experience in technical or manufacturing environments preferred

Purchasing & Order Management
- Create and issue purchase orders based on internal requests and inventory requirements
- Ensure accuracy of part numbers, quantities, pricing, and delivery dates
- Obtain and compare supplier quotations when required
- Maintain up-to-date supplier information and pricing records
- Monitor open orders and follow up with suppliers to ensure on-time delivery
Supplier Coordination
- Act as primary contact for suppliers regarding orders and delivery schedules
- Resolve discrepancies related to pricing, quantities, or delivery issues
- Track backorders and expedite critical materials when needed
- Support evaluation of supplier performance (delivery reliability, quality, responsiveness)
Receiving & Goods Control
- Receive incoming goods and verify against purchase orders and delivery notes
- Inspect shipments for completeness and visible damage
- Coordinate with quality or technical teams if inspection is required
- Record received goods in ERP/inventory system
- Manage return-to-vendor (RTV) processes for non-conforming items
Inventory & Documentation
- Maintain accurate inventory records
- Monitor stock levels and reorder points
- Support periodic inventory counts and reconciliation
- Ensure proper documentation and filing of purchase orders, invoices, and delivery notes
Internal Coordination
- Work closely with engineering, production, and finance teams
- Communicate delivery timelines and potential delays
- Support cost control and budget tracking activities
