Atom Computing is seeking an Office Manager in Copenhagen, Denmark who will play a vital role in supporting our growing team. The Office Manager will oversee the following areas:

The successful candidate for this role will have a positive attitude and a high level of professionalism, effectively multi-tasking in a fast-paced environment. They will be able to manage complex, multi-time zone scheduling as well as coordinating on and off-site activities. To excel in this role, the candidate will need to be able to manage confidential information, demonstrate excellent attention to detail and work with a sense of urgency. This position is required to be on-site in Copenhagen, Monday - Friday 9:00 - 17:00

Workplace & Facilities Operations
- Ensure a safe, efficient, and well-maintained office and lab environment that supports daily operations.
- Coordinate with property management to maintain cleanliness, functionality, and general upkeep of the office
- Coordinate with team to ensure all facilities meet safety and environmental standards
- Maintain a clean, organized, and professional working environment for employees
- Serve as the point person for staff questions regarding the office space and office policies
- Maintain a clean, well-stocked kitchen and break room area
- Order, receive, and stock kitchen supplies such as snacks and beverages
Procurement, Vendor Management & Logistics
- Manage purchasing processes, vendor relationships, and operational logistics to ensure the office and lab are properly equipped.
- Serve as the point of contact for Purchase Orders, entering, submitting and tracking all orders in a timely manner
- Assist with supplier follow-up as necessary
- Act as the primary liaison with local vendors for lab equipment, repairs, and maintenance services
- Order, receive and distribute office and IT supplies as needed
- Move goods between trucks and warehouse storage areas via pallet jack
Executive & Administrative Coordination
- Provide operational and administrative support to leadership and facilitate effective internal and external coordination
- Manage a complex calendar, coordinating executive-level internal and external stakeholder meetings
- Process NDA signatures with key partners and manage document retention
- Facilitate business communication between members of management, staff, and external senior business contacts
- Perform other administrative and office management duties as assigned
Office Experience & Stakeholder Engagement
- Create a welcoming, professional office environment for employees, visitors, and partners
- Assist with meeting coordination both internally and externally
- Greet and interact with all office visitors in a professional and welcoming manner
- Maintain the visitor management software platform
- Assist with planning, coordinating, and facilitating in-office employee events
- Organize daily office lunches via meal delivery platforms (Wolt, UberEats, etc.)
Experience & Education:
- Associate’s degree
- 2+ years relevant administrative, hospitality or customer-service experience
Qualifications:
- Ability to multi-task and work in a fast-paced, entrepreneurial office setting
- Ability to work collaboratively with the management team in a fast-paced environment with professionalism
- Positive, can-do attitude with customer service motivation
- Ability to organize and systematically execute multiple projects at once with a keen attention to detail
- Proficiency with Slack, Google Workspace and Microsoft Office applications
- Judgment and discretion to maintain a level of confidentiality appropriate to various business situations
- Excellent written and oral English communication skills
- Self-starter with a strong work ethic and ability to see projects through to completion

- Ability to stand for long periods and handle manual lifting of light to moderately-heavy (<30 kg) equipment occasionally.
